Description
Under the guidance of the manager, this role involves performing a range of administrative tasks to support projects, creating marketing materials and activities related to the marketing of Royle services. The position includes engaging with and supporting the sales team, assisting in the development and qualification of prospects, and organizing marketing efforts. Additionally, the role provides support to both the sales and marketing teams, helping them achieve their monthly goals.
ESSENTIAL JOB RESPONSIBILITIES (the items listed reflect management’s assignment of essential functions; it does not prescribe or restrict the tasks that may be assigned):
Administrative:
1. Assist in the production and maintenance of company marketing and promotional items.
2. Assists in proposal writing and presentations.
3. Customer database management.
4. Coordination of samples room and ongoing samples needs.
5. Coordinate all travel plans for account executives, managers, visiting guests, and employees as needed.
6. Assist with organization and arrangements necessary for meetings.
7. Prepare and distribute weekly/monthly sales reports.
8. Gather and prepare updated sales projections on a quarterly basis.
9. Assist with holiday gifts.
10. Assist the Human Resources Department with recruitment, retention, training & development, employee events and creating employee-related marketing materials.
Task Allotment: 25-30 hours per week
Sales Support:
1. Assist with e-mail and quote coverage for traveling, vacationing or working from home account executives.
2. Prepare prospecting, special paper, follow-up as needed.
Task Allotment: 20-25 hours per week
Prospecting Support:
1. Assist with letter writing, e-mail or postcard campaigns.
2. Provide ongoing support for database organization and lead qualification.
Task Allotment: 10-15 hours per week

EDUCATION AND EXPERIENCE:
1. Bachelor’s degree in administration or business or a combination of education and experience in lieu of a degree.
2. Previous administration and marketing experience.
3. Previous experience within the Printing Industry is desired.
KNOWLEDGE, SKILLS AND ABILITIES:
1. Strong word processing knowledge.
2. Excellent interpersonal and communication skills.
3. Ability to work independently with little or no instruction.
4. Excellent time management skills with the ability to manage multiple projects at one time.
5. Problem analysis and problem resolution abilities.
6. Language skills: Ability to read, analyze and interpret various types of correspondence. Ability to courteously respond to inquiries or complaints from customers and employees. Ability to effectively present information to customers and management.
7. Mathematical skills: Ability to work with mathematical concepts such as percentages, ratios, and proportions to practical solutions. Basic accounting and financial knowledge. Ability to read dimensions with a scale and perform calculations of measurements in both fraction and decimal format. Conversion of fractions to decimals and visa versa.
8. Reasoning ability: Ability to define problems, collect data, establish facts, and draw valid conclusions.
9. Must be a self-starter, highly organized and motivated, and able to work well with all levels of an organization. Polished presentation and interpersonal skills.
10. Ability to ensure that tight deadlines are met.
