Description

The International Dairy Deli Bakery Association (IDDBA) is hiring an Events Coordinator. This position reports to the Vice President of Events and supports the Meeting Planner, providing administrative, logistical, and operational support across all event functions. The ideal candidate brings a detail-oriented mindset, thrives in a dynamic environment, and is committed to delivering high-quality event experiences.

Essential Functions/ Major Responsibilities
Event Coordination & Logistics
• Provide planning and execution for a variety of events to include Board of Directors Meetings and internal and cross-departmental meetings and events
• Coordinate event logistics including attendee registration, travel arrangements, on-site support, food & beverage orders, ground transportation and materials preparation
• Assists Meeting Planner with hotel and vendor contracts, room block and concession management and housing lists
• Support management of Board Management portal for Board of Directors and Committee engagement and calendar planning
• Manage vendor relationships
• Manage aspects of the IDDBA annual trade show
• Coordinate food & beverage planning
• Support Registration Coordinator in pre-event registration processing
• Support Registration Coordinator on site
• Lead and/or support coordination and planning of onsite functions including but not limited to: Close-up Kitchen (demo kitchen), Photo Opportunities, New Product Showcase, and Onsite Product Contest

Administrative & Departmental Support
• Maintain department records, including contracts, historical data, venue profiles and vendor contracts
• Manage the department calendar, long-term contract timelines, and archive of key event documentation
• Support department leadership with expense tracking, budgeting tasks and project timelines
• Identify opportunities for increased department efficiency and process improvement

Requirements/Qualifications
• Positive, flexible, and solution-oriented outlook
• Event planning and/or administrative support experience preferred (but not required)
• Excellent organizational and time management skills
• Strong communication and interpersonal abilities
• Proficiency in Microsoft Office Suite
• Ability to work both independently and collaboratively in a fast-paced environment
• Post-secondary degree preferred
• Ability to travel as needed (approximately 20 days per year)
