Role Summary:
The Executive Operations Coordinator plays a critical role in supporting executive-level management and ensuring the efficient operation of the organization. This position involves a combination of administrative duties, project management, and communication coordination. The role acts as a liaison between executives, staff, and external stakeholders, handling a wide range of tasks to facilitate smooth operations and contribute to the overall success of the organization.

The Executive Operations Coordinator will report to and work hand-in-hand with the Executive Business Partner on a daily basis. This is a hybrid position based out of our Product Development Center in Wauwatosa, WI and may involve extended hours and occasional weekend work to accommodate executive schedules and deadlines.

Key Responsibilities:
• Provide comprehensive administrative support to senior-level executives including: 1) Calendar management and proactive conflict resolution, 2) Internal and external scheduling, 3) Domestic and international travel arrangements, 4) Expense reporting.
• Coordinate and organize meetings, conferences, and special events, including logistics, agenda preparation, and follow-up actions.
• Prepare and distribute documents, reports, presentations, and other materials for meetings and presentations.
• Collaborate with other administrative staff and departments to ensure seamless coordination and communication across the organization.
• Assist in the development and implementation of administrative policies, procedures, and systems to streamline workflows and enhance productivity.
• Maintain confidentiality and handle sensitive information with utmost discretion and integrity.
• Anticipate the needs of executives and proactively address issues or challenges to minimize disruptions and maximize efficiency.
• Perform other duties and special projects as assigned by the Executive Business Partner and other leadership.

Experience and Skills Required:
• Bachelor’s Degree preferred or relevant experience in a similar role.
• Positive attitude and ability to make decisions independently but have a strong commitment to the team and to our company vision.
• Customer oriented and service mindset, with the ability to build and maintain relationships with clients and colleagues of all levels both internally and externally.
• Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.

• Flexible and adaptable, with the ability to work independently and as part of a team.
• Proactive problem-solving skills, with a willingness to take initiative and learn new skills.

Pay Range: $50,000 – $75,000
The pay range shown represents the national average pay range for this role. Your pay may be more or less than the stated range and is dependent on your geographic location and level of experience.
